Leading by Example to Drive SharePoint and Office 365 Adoption

End-users rarely start and continue using SharePoint and Office 365 on their own; strategic efforts are needed from both the IT team and the executive team in general.

To increase SharePoint and Office 365 usage and improve adoption, leadership from every department has to get involved. The most effective step in this initiative is to follow adoption-friendly habits that employees can duplicate. If team members observe certain working habits from the leadership, they are more likely to imitate.

Steps executives can take to inspire everyone may vary depending on their actual daily tasks. But, common communication, collaboration, and productivity features should be exploited by everyone with influence in the company and create tiny case studies and success stories that can show the way.

Executives can also run experiments and share results with everyone to demonstrate the capabilities of certain important features. This simple approach is enough to unleash trends of conversations around the platforms features and lead to discovery of better solutions.

Use different applications and features of the platforms wherever applicable and explain both the capabilities and the results to other end-users.

For example:

  • Use a SharePoint site for internal communication with your team.
  • Use Yammer to ask questions and answer common questions.
  • Use OneNote to take sharable summaries during meetings. Etc.

Also, appoint power-users from the ranks of your subordinates to amplify the impact. You can appoint more than one staff member to be an exemplary user and take the role of showing the way as well. Look for those who have a penchant for technology, are enthusiastic about innovation, and already show interest in using the platforms. Look for early-adopters as well; they usually happen to have a natural aptitude to technology. And, remember to continuously find and nurture new power-users. This way, you have replacement for those who may drop from the campaign.

Usage analytics, surveys, and polls can also be used in the search for power-users.

Instruct power-users to purposefully make extensive use of the platforms and carry out experiments that can lead to the discovery of better ways to get things done.

The next crucial step for you and your appointed power-users is to document your experiences and share them with the rest of the staff. Schedule a weekly online or live session during which discoveries and success stories would be shared with everyone in a department or the entire organization.

Documentation of experiences can be done using screen-capture videos or screen-shots.
